Backoffice Assistant

Wismatix EOOD is a software development and consultancy company specializing in the provision of our innovative online Quality Management System, Wismatix QMS, and comprehensive consultancy services. As our business continues to grow, we are actively seeking a dynamic and detail-oriented Backoffice Assistant to join our team. This role offers a unique opportunity to contribute to our company’s growth and play a vital role in supporting our administrative and back-office operations.

Job Responsibilities:

  • Provide administrative support to various departments, ensuring smooth day-to-day operations.
  • Assist in managing calendars, scheduling appointments, and coordinating meetings.
  • Prepare and organize sales materials, presentations, and proposals.
  • Handle customer inquiries and maintain positive relationships with existing clients.
  • Support the sales team in lead generation and follow-up activities.
  • Maintain accurate records of sales activities and customer interactions in our CRM system.
  • Collaborate with internal departments to ensure efficient workflow and timely responses to customer needs.
  • Assist in market research and competitor analysis to identify business opportunities.
  • Coordinate travel arrangements and logistics for the team as needed.
  • Perform general administrative tasks, including data entry, filing, and office organization.

Requirements:

  • Strong proficiency in both Bulgarian and English, with excellent verbal and written communication skills. Proficiency in other European languages is a plus.
  • Previous experience in an administrative or back-office support role is preferred but not required.
  • Highly organized and detail-oriented, with the ability to multitask and prioritize tasks effectively.
  • Strong interpersonal skills and the ability to build and maintain positive relationships with colleagues and clients.
  • Proficiency in using office software (e.g., MS Office Suite, email, calendar management) and willingness to learn new software tools.
  • Proactive and self-motivated, with a positive attitude and willingness to contribute to a team-oriented environment.
