Position: Backoffice Assistant
Location: Sofia, Bulgaria
Type: Full-time

Administrative Support:

  • Manage calendars, schedule appointments, and coordinate meetings.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Handle incoming calls, emails, and inquiries, ensuring timely and accurate responses.
  • Maintain filing systems and databases, ensuring records are up-to-date and easily accessible.
  • Order and manage office supplies and equipment.

Project Assistance:

  • Assist in preparing, reviewing, and editing business organizational documents, including policies, process documentation, management system manuals, audits, and management review reports.
  • Support in researching industry trends, regulatory changes, and advancements in various management practices and ISO standards.
  • Help organize and coordinate training sessions and workshops for clients.
  • Assist in compiling and organizing audit schedules and reports, including documentation of findings and recommendations.

Client Interaction:

  • Serve as a point of contact for clients, addressing inquiries and providing information as needed.
  • Assist in building and maintaining strong relationships with clients, ensuring a high level of customer service.
  • Supported the organization and scheduled client meetings and consultations.

Office Management:

  • Perform general office duties such as photocopying, scanning, mailing, and filing.
  • Ensure the office environment is well-maintained, clean, and organized.
  • Coordinate with vendors and service providers for office maintenance and supplies.

Requirements:

  • 1-2 years experience, but students and new graduates are also welcome.
  • Excellent organizational and time-management skills.
  • Strong Bulgarian and English written and verbal communication skills. Additional language skills are a plus.
  • Proficiency in generic IT and office tools like text editors, spreadsheets, presentation programs, mail, calendars, and online meeting apps.
  • Ability to handle confidential information with discretion.
  • Detail-oriented and able to manage multiple tasks simultaneously.
  • Familiarity with quality management standards and regulatory compliance (preferred but not required).
  • Proactive and able to work independently as well as in a team.
